We collect and processes personal data in order to provide services and/ or to engage with our membership and others on the work of the Association. This may be through interaction with our staff electronically, over the phone, via a virtual or physical event, or in person.
The details we collect are limited to your name, position, and work contact details (including business phone numbers, email and postal address) and additional information you specifically provide to us in order to further your engagement with INTERTANKO’s work. We further hold your INTERTANKO website login details. We may also hold photographs or video footage showing individuals at INTERTANKO and other events in which you may have participated.
2. How do we use this information?
All personal data provided to INTERTANKO is used solely for business communications to enable us to deliver services.
Members and Associate Members
INTERTANKO’s membership comprises individual companies. INTERTANKO does not have any individuals as direct members/ associate members.
INTERTANKO collects and processes the personal data of member and associate member company representatives in order to provide services including membership administration; participation in INTERTANKO committees, panels, governing bodies and other working groups and industry forums; provision of advice and responses to enquiries; updates on technical and other issues; attendance at external meetings and events, and requests for information on areas of interest to the membership. Photographs or video footage of INTERTANKO members at events may be posted on our website or used in publications.
We may also use your data to tailor the services we provide to you. Through your personal web login you can manage your mailing and information preferences on the ‘My Profile’ page of our website, https://www.intertanko.com. You may also use that link to ask us to update your personal data.
If you participate in a committee, panel, governance meeting or other working group, we may share your personal data in order to ensure the proper functioning of that group e.g. by sharing your email or contact details with the other group participants. We may also use your personal data, including any official INTERTANKO role or title, in reports on the activities of that group, e.g. in our weekly newsletter, on our website, in our Annual Report or in press releases.
In the course of a specific event we may share personal data with suppliers who assist us in running the event. These suppliers may only process your personal data for the purposes of that event.
We will not otherwise share your personal data with other individuals or companies unless we have your written consent to do so.
Your personal data will be used by INTERTANKO staff operating from the UK, Norway, Greece, USA and Singapore.

INTERTANKO also has various non-member contacts, both companies and individuals.
INTERTANKO collects and processes the personal data of such contacts in order to further our engagement with the wider industry and other stakeholders, as well as our contractors and suppliers. Photographs or video footage of contacts participating in INTERTANKO events may be posted on our website or used in publications.
Where an individual participates in an INTERTANKO event or group, we may share limited contact details in order to ensure the proper functioning of that group e.g. by listing all email addresses.
In the course of a specific event we may share personal data with suppliers who assist us in running the event. These suppliers may only process your personal data for the purposes of that event.

3. The legal basis on which INTERTANKO processes personal data
INTERTANKO relies on different legal bases for the processing of personal data depending on the relationship and purpose for which it is collected:
Members and Associate Members
We base the processing of your personal data on our legitimate interest in providing you with our services in the course of normal business operations. If you leave the employment of a member company (Member or Associate Member) you may ask for your personal details to be removed.
Other Contacts
We base the processing of your personal data on the contract we may hold with you e.g. if we have entered into a consultancy or service arrangement with you.
Where there is no contract, we base the processing of your personal data on legitimate interest due to your engagement in INTERTANKO’s work in the course of normal business operations.
4. How long do we keep personal data?
Personal data is retained no longer than is necessary to enable INTERTANKO to deliver its services.
We review contact information on a regular basis to ensure it is up to date and that it is necessary for us to retain such data for the purposes it was collected. Redundant personal data is routinely removed from our databases.

Your data will be held on secure servers within the European Union with all reasonable technological and operation measures put in place to safeguard it from unauthorised access. Where possible any identifiable information will be encrypted or minimised.
